Create, Move, Copy and Delete Shifts

How to use the basic functionality of the rota: creating, moving, copying and deleting shifts.

Create a Shift

To create a shift on the rota, you will need to type in the box relating to the employee and day that you need to make a shift for. For example, the picture below shows a shift being created for Anthony on the Monday.

You will notice that on the rota you are defaulted to have two shifts per day. This is to accommodate split shifts, or AM vs PM shifts. If you wish to change the number of shifts per day for your company, you can do so in your Rota Settings.

Move a Shift

To move a shift on the rota, use drag & drop to move any existing shift to another box.

This will not change any of the shift details and will move the shift only, not copy/duplicate it. You will not be able to move any previously approved shifts - these will show on your rota in green.

Copying Shifts

Similarly to how moving a shift works (explained above) you can copy shifts by holding down the Ctrl key while dragging and dropping a shift. This will duplicate the shift into the square you drag it to.

Copying Shifts on Mac

Copying shifts on Mac varies differently from other computers as there isn't a Ctrl Key.

For Mac, we have incorporated a workaround. In the rota menu, you will see "Drag Mode" as seen below.

When you click this you will be put into "Copy Mode" Meaning any shifts you move will copy them.

To go back to "Move Mode" You will have to go back into the rota menu, selected "Drag Mode" to change it back.

Delete a Shift

To delete an individual shift on the rota, simply right-click on the shift that you would like to remove and select Clear Current Shift.

Clearing all Shifts

To clear all shifts for a particular department, click the red Clear Shifts button at the top right of that department on the rota.

To completely clear all shifts in your rota, you can use the Clear all Shifts button in your rota menu. To do this, click on rota menu at the top left, then Clear All Shifts - as pictured below.
