Your guide to navigating and using the P&L Flash report on Opsyte

The P&L Flash report gives you an insight into your business' estimated profit by taking into account your NET sales, your wage costs and your business' fixed and variable costs. The report gives you an EBITDA, (earnings before interest, taxes, depreciation, and amortization).

Changing Which Site you are Viewing - (for multi site businesses)

Navigating the Report

You can find your P&L Flash report in the Reports section of your side bar. You will need to have appropriate permission to view the report, so if you can't see it, please contact your site's admin.

When the report first opens, it will default to showing your current week. You can change the date selection by clicking on the date selector at the top right corner.

If you have set up Financial Periods, you will see the option to view the P&L Flash by period. You can still choose a custom date range by selecting that option at the bottom of the list.

To view your selected date range on the report, you will need to press the Generate Report button.

Changing Which Site you are Viewing - (for multi site businesses)

If you are a multi site business, and have appropriate permissions, you will be able to view the P&L Flash for multiple sites.

When you first open the report, it will default to showing you all sites that you have permission for. You can see which sites you are viewing in the middle of the page, under the date range.

If you wish to change which site you are viewing, you can do this by using the Filter by Company option underneath the date selection.

To change the sites you are viewing, you can click on the ticks next to the site names. The ticked sites are the ones that will appear on your report.

Once you have made your changes, click on the Generate Report button to action your changes.

Adding Fixed Costs

To get the most out of your P&L Flash, you should add any fixed costs for your business. These include any regular payments such as rent, regular bills (e.g. utilities), marketing and finance.

To add fixed costs to your P&L Flash you will need to click on the Add Fixed Costs button in the centre of your page.

Clicking on this button will open the following window.

You will be asked to choose which site your fixed cost applies to (if you are multi site), you will also need to name your fixed cost, enter its value and its frequency.

You can also enter some optional information here, such as the nominal code (if you are integrated with an accounting system these will be generated for you). You can also enter an Active From and Active Until date if these are relevant.

Click Add to finalise and add your fixed cost.

Adding Variable Costs

To get the most out of your P&L Flash, you should also add any variable costs for your business. These are your COS (cost of sales) and will be a % cost of your sales items.

To add your Variable costs, you will need to click on the Add Variable Costs button in the centre of your page.

This will open the following window.

You will be asked to choose which site your fixed cost applies to (if you are multi site), you will also need to name your variable cost, choose its cost % and choose which revenue item it belongs to.

You will also have the option of adding an Active Until date if this is relevant.

Click Add to finalise your variable cost and add it to your report.

Editing and Deleting Fixed and Variable Costs

Your fixed and variable costs may change over time, if this happens you will need to edit your report. You can do this by clicking on the (edit) button next to the cost you wish to edit.

This will then open the following window.

You can then make the edits you require, or delete the cost entirely. Click Confirm Edit to make your edits live.

Changing your Budget Wage Cost %

Your Budget Wage Cost % appears on your P&L Flash report, as pictured below.

Changing your Wage Cost % is a company setting and you will need admin level permissions to make this change. If you don't have appropriate permission, please contact your site admin.

Your Budget Wage Cost % can be changed in your Company Settings. You can navigate here by clicking on the admin menu at the top right (the four squares icon), then clicking on Other Company Settings, then Reports Settings.

Once you have made your change click Save.
