How to use Working Patterns and set non-working days for your employees.

Our Working Patterns feature allows you to record employee availability.

If you would like to turn on Working Patterns for your company, please contact Customer Support.

Users with the Working Pattern permission can now set employee working patterns in their staff profile - on non working days the rota will be greyed out for that employee. But don't worry - if the employee needs to work on their usual non working day, you will still be able to make exceptions.

Employee working patterns are set in their staff profile. To visit an employee's profile, start by going to your Staff List. Your Staff List will be under the Staff module in your sidebar.

When you are in the Staff List, click on the employee's name who's Working Pattern you would like to input, and you will be taken to their profile.

When you are in the employee's profile, click on the Working Pattern tab.

Note: you will only be able to see the Working Pattern tab if the feature has been turned on for your company. If you would like Working Patterns turned on, please contact customer support.

You will then be able to untick the boxes on the days that the employee is unable to work. In this example, the employee cannot work on Mondays and Tuesdays. Once you have made your desired changes, you can click Save.

Once you have set employee working patterns, they will appear as greyed out squares on the rota.

As pictured above, the first employee cannot work on Mondays, the second cannot work on Mondays and Tuesdays. and the third is available on both days.

How to create a shift on a non-working day. 🀡🏽

There may be times when an employee is available to work on a usual non-working day. In this case, you are able to make exceptions to the working pattern by following the steps below.

First, you must right click on the non-working day that you wish to unlock.

You will then be able to click the blue UNLOCK button. This will remove the non-working day from the rota, and allow you to add a shift.

Doing this will not change the employee's working pattern, it will just make a one off exception for the day required.
