Checking Statements

This article will outline the different stages of the items and provide guidance on what actions to take at each step.

When you open a statement it will show you a number of detected lines, for each line it will then appear in one of the following colours: Green, red, blue or orange.

The status of each line will show in the corresponding colour:

Green: Paid/ completed

Red: Missing item in Opsyte & Xero

Blue: Found in Opsyte but not in Xero

Orange: The system has found a discrepancy that needs to be reviewed.

If the system has found any differences it will always show the text highlighted in red.

The money bags next to an item will show in either green or orange, green is when it has been paid in Xero, and orange for an invoice or credit note that is unpaid in Xero.

If you can see you are missing an invoice you can either select e-mail supplier in the item box you need or go to the advanced option and send e-mail this will then select all missing items that have been detected.

Once you have clicked e-mail supplier the following pop up will show like this:

Here you need to add the suppliers e-mail address, you can delete items out of the box at this stage if you need to and edit the message you are going to send to the supplier. This e-mail will automatically be sent from your invoice email account.

Once sent there will be a stamp of this in the note box, as shown below:
